Executive Assistant (Remote) — Welldone Cabinetry Bay Area Full-time, independent contractor

Schedule: Mon-Fri, 8:30 AM — 5:00 PM California time (6:30 PM — 3:00 AM Kyiv time)

Pay: USD 1,500/month, paid to your registered business (FOP)

ABOUT US

Welldone Cabinetry builds custom cabinetry and millwork for high-end homes in the San Francisco Bay Area, working closely with interior designers and homeowners.

THE ROLE

You will be the first voice and face of our company for clients and the Owner’s right hand: answering calls, holding video meetings with new clients and designers, managing the Owner’s calendar and inbox, and keeping our systems and documents in order.

RESPONSIBILITIES

• Answer all inbound calls, qualify new leads and route requests.
• Hold introductory video calls with prospective clients and designers.
• Follow up with leads and schedule consultations and site visits.
• Manage the company inbox and the Owner’s calendar.
• Maintain Bitrix24 (leads, deals, tasks) and company documents.
• Support hiring when needed: job posts, resume screening, interview scheduling.
• Send daily updates and a weekly report to the Owner.

REQUIREMENTS

• Excellent spoken English (C1+): you confidently lead calls and video meetings with American clients.
• Degree in translation/linguistics or interpreter experience is a strong plus.
• Russian or Ukrainian.
• 2+ years as an executive assistant, office administrator or client coordinator.
• Experience with English-speaking clients; interior design, construction or furniture is a plus.
• Google Workspace, Zoom/Google Meet; Bitrix24 training provided.
• Self-directed, detail-oriented, proactive in flagging problems.

CONDITIONS

• Evening/night shift in Ukraine: apply only if you can work these hours consistently.
• Camera on for client meetings and daily check-ins.
• Quiet workspace, good headset, stable internet with backup, and backup power.
• Saturdays, Sundays and U.S. federal holidays off.
• 4-week trial period, then long-term engagement.
